This policy explains how PDQ Air Conditioning (“we”, “us”, “our”) collects, uses and protects your personal information when you visit this website, contact us or ask for a quote. We are a small air conditioning business and we only collect the information we need to respond to you and carry out our work.

  • Enquiry and quote forms: your name, email address, telephone number, property type (residential or commercial) and the message you write.
  • Phone, email and in-person contact: the details you give us when you call, email or speak to us, including site address and details of the work you need.
  • Customers: information needed to survey, quote, install, service and invoice, such as your address, contact details, details of the equipment at your property and records of work carried out.
  • Technical information: basic information your browser sends to the website server, such as IP address and browser type, which is used for security and to keep the site running.

How and why we use your information

  • To reply to your enquiry and provide a quote (lawful basis: taking steps at your request before entering into a contract, and our legitimate interests in responding to enquiries).
  • To carry out and support the work you have asked us to do, including servicing, maintenance and warranty matters (lawful basis: performing a contract).
  • To keep accounts and records and meet legal and tax obligations (lawful basis: legal obligation).
  • To keep our website secure and working properly (lawful basis: legitimate interests).

We do not sell your personal information and we do not use it for automated decision-making. We will only send you marketing if you have asked for it or where the law allows, and you can opt out at any time.

Who we share it with

We only share personal information where necessary: with service providers who help us run our website, email and accounts (for example web hosting and email providers); with equipment manufacturers where needed to register a warranty or arrange support; with our accountants or professional advisers; and where we are required to by law. This website uses only the cookies needed for it to work and to improve speed (for example caching). If we add analytics or marketing cookies in future we will update this policy and ask for your consent where required.

How long we keep your information

  • Enquiries that do not lead to work: usually deleted within 12 months.
  • Customer and job records: kept for as long as needed to support servicing and warranties, and for the periods required for accounting and tax purposes (generally six years).

Keeping your information safe

We take reasonable technical and organisational steps to protect your information, including password-protected systems and limiting access to the people who need it. No online transmission is completely secure, so please avoid sending sensitive information such as payment card details by email.

Your rights
